Custom fields

What’s New:

Customers are now able to create custom fields that associate with their assets. This will be predefined fields (by customers) to store details for various asset data records. Customers can use this to track additional information. Custom fields will give them the place to store and report on these values.

Default permission structure for custom fields -

Note - Custom fields are available within the ‘custom permission’ page under ‘Admin settings section’ where Admins can update the default permissions for Managers and Team Managers.

How to create a new custom field

  • Navigate to ‘settings’ page under the profile dropdown and navigate to admin settings tab

  • Within the custom fields section (selected by default), click on ‘Create custom field’ button

  • Create custom field modal is displayed

  • Select a module against which you need to add a custom field

Note -

  • Currently only ‘Assets’ module is available within the custom field

  • Module dropdown is a required field on the modal

  • Select the relevant data type for new custom field

Note -

  • Data type field determines what sort of data is supported within these fields

  • Following are the available data types

  • Depending on the data type selected, create custom field may have additional attributes to define

  • Add the label for the custom field (Label will be displayed on all relevant list and asset details page) (Required)

  • Field is required checkbox (This decided if the custom field added is a required field on asset creation or not)

  • Enter the Description (description of a custom field)

  • Display as helper text checkbox (This will be displayed as (i) next to custom field label on asset creation page )

  • Enter the Description (description of a custom field)

  • Click on ‘Create’ button

View list of already created custom fields -

Users can view list of already created custom fields in the list under ‘custom fields’ menu

Edit/delete a custom field -

Users can edit/delete a custom field from ‘Actions’ drop down on each custom fields in the list

Note -

Editing a custom field -

  • While editing users can’t edit the module or data type of already existing custom field to avoid data corruption

Deleting a custom field -

  • When a custom field is deleted, the data associated with this custom field against all assets will be deleted. So please ensure you have a data backup (by exporting asset information prior to deleting the custom field)

Using custom fields -

Once custom fields are created, users can utilize them to add/report on custom information for assets within Whip Around.

E.g. If there is an asset named ‘Truck 1’ and we want to add a serial number ‘11H1A’ against that asset, we could do it in following two ways -

  • Bulk update custom field records for already existing assets -

Once a custom field is added, users can bulk export the asset list by clicking on the ‘Export’ button within the Asset list page or ‘Reports’ section in Whip Around.

  • The export will be dynamically updated with new columns for all the custom fields added and have dynamic validations in place if they are required or not.

  • Users can update the custom field information in the export and re- upload the excel/CSV from the bulk upload assets section. This will assign the relevant custom field data to each asset accordingly.

  • Bulk upload custom field records for new assets -

Once the custom field is added, users can download the template for bulk import of assets.

  • The template will be dynamically updated to include custom fields as soon as the user has created one.

  • Users can use this template to bulk upload assets into Whip Around seamlessly.

  • Add custom field information on asset using asset details page -

Once the custom field is added, users can navigate to the asset details page of each asset and update the custom field information there.

View/filter information using custom fields within list pages on Whip Around

Once the relevant custom fields information is added to all the assets, users are able to view/filter the information on various list pages on Whip Around

Custom fields are available to view/filter on following pages -

  • Asset list page

  • Inspection history list page

  • Driver wellness list page

  • Assets tab under teams list page

Note -

  • Individual user can choose if they would like to see custom fields in the list pages by clicking on ‘columns’ button above the list

Report on custom fields -

Once the relevant custom fields information is added to all the assets, users can report on custom fields as they will be available on various reports in the reporting section.

  • Assets

    • Assets

    • Mileage history

    • Engine hours history

  • Inspection history

  • Drivers

    • Driver wellness

  • Assets in/out of service

Note - Scheduling above reports to be sent to an email will also have custom fields related information.
