Custom statuses - Creating/updating/deleting work order statuses and set approval required

What's new:

We have added ability to customize work order statuses and also ability to add approvals while work order are moving through this statuses.

This will enable customers to tweak work orders module according to their organizational workflow.

Create a new work order status -

  1. Navigate to ‘settings’ page under the profile dropdown and navigate to admin settings tab

2. Click on ‘Work order statuses’ section and click on ‘Create work order status’

3. Create work order status modal is displayed

  • Enter necessary information to create a work order status

  • Label <Required>

  • Color <Required>

  • Description <Optional>

Customer can also set up approval required for any of the custom statuses except for the last one.

4. Toggle approval required

5. Choose the role who can approve/decline the work order going out of that status

Note - If you choose team managers as approver role, Managers and Admins will be able to approve/decline the work orders by default due to role hierarchy.

  • Admins → Only admins can approve

  • Managers → Managers + Admins can approve

  • Team Managers → Admins + Managers + Team Managers can approve

6. Click on ‘Create’ button

Note -

  • User can create up to 5 work order statuses including 1st and the last work order status

  • 2 work order statuses will exists by default - pending and completed. Users can edit the label, add description and color but can’t delete these statuses

  • Approval can be set for any custom statuses except the last one.

  • View the list of work order statuses and the work flow -

  1. Users can view list of already created work order statuses in the list under ‘Work order statuses’ menu

2. Users can view the current work order flow

Notes -

  • * represents the approval required for a status

  • Workflow is only a visual representation of the current flow.

Reorder existing custom statuses -

  1. Users can reorder the work order status by clicking on ‘::’ icon next to the customer

Note -

  • Reordering will reorder the work orders belonging to these statuses as well and may break the approval process

  • Reordering functionality is not available for 1st and the last work order status.

Edit/delete a work order status -

Users can edit/delete a work order status from ‘Actions’ drop down on each custom fields in the list

Note -

Editing a work order status -

  • While editing, users can’t set approvals for the last work order status

Deleting a work order status -

  • Users can’t delete first and last work order status

  • While deleting any other statuses, users will need to select another valid status to move all the existing work order status to before deleting existing status.
