Managing a User’s Teams

Configure which teams a user follows or manages.

You can control which teams a user manages or follows.

There are multiple ways to update this setting.

Profile Settings (Admins & Managers only)

In the app:

  1. Hover over your profile name in the top-right corner

  2. Select Profile

  3. Click on the Team Management tab

Important: Only Admins and Managers can access this page. Team Managers and Mechanics do not have permission to change which teams they follow or manage.

Users Page (Admins only)

From the left navigation menu:

  1. Click People

  2. Select Users

  3. Find the user you want to update and click the right-facing arrow on the far right

You will be taken to the selected user’s profile page. From there, select the Team Management tab to make updates.

Team Management Tab

The Team Management tab lists all teams within your account. From this page, you can update the selected user’s settings to determine whether they manage or follow specific teams.

These settings control which information the user can view, depending on their role. For example, granting access to a particular team will allow them to see all the assets, defects, work orders etc from that particular team.

In general, visibility follows the rules below:

  • Admins: Admins are not impacted by team management settings. By default, they can view all data across the entire account.

  • Managers: Managers can view data from teams they manage or follow. They may also view data from teams they do not follow, but only when they explicitly search for or filter those teams.

  • Team Managers: Team Managers can only view data from teams they manage or follow.

  • Mechanics: Mechanics can only view data from teams they manage or follow.

Team management and custom permissions

These two settings work together to control what a user can see and do.

  • Team Management determines which data a user can view, based on the teams they manage or follow.

  • Custom Permissions add an additional layer of control, determining which actions a user can perform on the data they can see, such as creating, updating, or deleting records.

Copy team management

Within the Team Management page, there is an option to copy a user’s team assignments to another user. This allows you to quickly duplicate team access for users who require the same permissions, saving time and reducing manual setup. This functionality is only available to admins, managers and team managers do not have the permission to update other user's team assignments

To access this option:

  1. Navigate to the Team Management tab

  2. Select Copy Team Assignment
