Bulk uploading users

If you have a lot of users to add, you can invite them all at once by uploading a file, instead of adding them one at a time. You can upload a file, fix any errors right on the page, and send everyone their invites in one go.

Note: Only Admins can bulk upload users.

What bulk upload does

Bulk upload is for adding new users. Every row in your file invites a brand-new user and sends them an invitation email. It does not update existing users — if an email in your file already belongs to someone on your account, that row will be flagged as an error so nothing is overwritten.

Getting started

  1. Go to People > Users in the left-hand navigation.

  2. Click Add user, then select Bulk users.

This opens the bulk upload page. Before you do anything else, download the template — it has the right columns already set up, plus a few example rows to follow.

How the file is structured

The template has six columns:

A note on the Teams column

The Teams column can't be left blank. You have two options:

  • List the team names, separated by commas — for example Dallas, Houston. The team names must already exist in your account.

  • Type All teams to give the user access to every team.

Note: If a team name in your file doesn't match a team in your account, that row will be flagged. Bulk upload won't create new teams for you — set those up first if you need them.

Uploading your file

  1. On the bulk upload page, click Upload a file and select it.

  2. Your data loads into a preview. Any problems are highlighted directly on the affected cell — a missing required field, an email that already exists, a team name we don't recognize, and so on. You can fix them inline, right on the page, without leaving.

  3. Work through any highlighted cells until everything is clear.

Once all rows pass, click Finish.

What happens after you submit

Your upload processes in the background. This can take a minute or two for a large file — you can leave the page and keep working in the meantime. Once it's done, your users list refreshes automatically, and every new user is sent an invitation email to set up their password.

Tip: Users can use the same login for both the dashboard and the mobile app.
