Navigating through users list page

This article focuses on actions that can be taken from users list page

The Users page is where you manage everyone on your account who isn't a driver. This article walks through what you can do from the list itself.

Go to People > Users in the left-hand navigation.

Note: Only Admins and Managers can open the Users page. Admins can do everything on it. Managers can look and export, but can't add, change or delete anyone.

Viewing users by status

Along the top of the list there are four tabs, each with a count next to it, so you can see at a glance how your account is being used.

  • All — everyone on the account

  • Active — logged in within the last 90 days

  • Invited — invited, but has never logged in yet

  • Inactive — hasn't logged in for 90 days or more

Click a tab to see only those users. Everything else on the page — search, filters, sorting and export — works within the tab you're on.

Tip: The Invited tab is the quickest way to see who still hasn't set up their account, and the Inactive tab is the quickest way to find accounts you can clean up.

What the columns tell you

There are several columns that you can be displayed on this page:

  • Teams — this indicates all the teams the person belongs to. Each team name is a link, so you can jump straight to that team. If they're on more than five, click Show more to see the rest.

  • App version — which version of the Whip Around mobile app that person is on, with an icon for iPhone or Android. Handy when someone reports a problem on their phone — you can check whether they're just behind on updates. A dash means they haven't used the mobile app.

  • DriverYes if this person also has a driver profile.

  • Last logged in — the last time they signed in, on the dashboard or the app.

  • Status — the same Active / Invited / Inactive label as the tabs, shown per person.

  • Role — their permission level. The account owner has an Owner tag next to their role.

Email and phone numbers each have a copy button, so you can grab them without selecting the text.

You can choose which columns you want to see by clicking the columns icon above the list and ticking the ones you want. Name always stays.

Note: If you see an orange warning triangle next to someone's name, emails to that address have been blocked because they kept failing to deliver. See Unblock email below to fix it.

Adding users

Click Add user in the top right, then choose one of two options:

  • Single user — opens a panel on the right where you fill in their first name, last name, email, phone (optional), role and teams, then click Add user. They'll get an invitation email to set up their password.

  • Bulk users — takes you to the bulk upload page, where you can add lots of people at once from a file.

Note: Only Admins can add users.

Actions on one person

Click the three dots at the end of a row to open the Actions menu. What you see depends on the person you clicked.

  • Make driver — gives this person a driver profile as well as their dashboard account. You'll be asked which team the driver belongs to, then click Create driver profile. Their details are carried over, so there's nothing to re-type.

  • View driver profile — appears instead when the person already has a driver profile, and takes you straight to it.

  • Resend invite — sends the invitation email again. Only appears for people who haven't logged in yet.

  • Unblock email — starts sending emails to that address again, after they'd been blocked for repeated delivery failures. Only appears when an address is actually blocked, and the warning triangle next to their name disappears once you've done it.

  • Delete — removes the person from your account.

Note: Deleting a user removes them and everything tied to their account, and it can't be undone. You can't delete yourself, and you can't delete the account owner — the option simply won't be there.

Updating multiple users at the same time

Tick the checkboxes next to the people you want. As soon as you select one, extra buttons appear above the list.

  1. Select the users you want.

  2. Click Actions, then choose Resend invite or Unblock email. To remove them, click Delete instead.

  3. Confirm on the pop-up.

You don't need to be careful about your selection. If someone doesn't apply, they're skipped and nothing happens to them — Resend invite only emails people who haven't logged in yet, and Unblock email only affects addresses that are actually blocked.

Tip: Select everyone on the Invited tab and use Actions > Resend invite to nudge everyone who still hasn't signed in.

Note: Bulk actions are Admin only. Managers will see the buttons greyed out.

Editing someone's details

Click the person's name to open their profile, and make your changes there.

Search, filter, sort and export

The usual list tools all work here too.

  • Search — the search box above the list finds people by name or email.

  • Filters — filter by role, team, whether they're a driver, when they last logged in, and more.

  • Sort — click any column heading to sort by it.

  • Export — click the export icon to download the list as a CSV or an Excel file. If you've selected specific people, you'll only get those. If you haven't, you'll get everyone matching the tab, search and filters you currently have on.
