Opening the panel
Go to Work orders, switch to Calendar or Scheduler, then turn the backlog on from the toolbar. It opens on the right and carries a count, so you can see the pile shrink as you plan.
The panel sits beside the calendar rather than over it, so you can see both the pile and the week you are filling.
Collapse it again when you want the full width of the calendar back. The view remembers whether you had it open.
The four tabs
Unscheduled work is split four ways, in the order you would usually deal with it.
Tab | What is in it | Deal with it |
Overdue | Past its due date and still not scheduled | First. This is the work that is already late. |
Due in 7 days | Due inside the coming week | Next, when filling this week. |
Due after 7 days | Due later than a week out | Pull forward only if you have spare capacity. |
No due date | Raised without a deadline | Last. Fit around everything else. |
A work order appears in exactly one tab, and it leaves the backlog the moment it has a scheduled day.
The tab strip scrolls sideways when the panel is narrow rather than wrapping onto a second line, so the calendar keeps its width.
Planning a week from the backlog
The panel is built around one motion: drag a card out of it and drop it on a day.
Start on the Overdue tab and place the late work first.
Move to Due in 7 days and fill the rest of the week around it.
Drop each card on the day you intend to do the work. The due date does not move.
In Scheduler the drop target is a person's row on a day, so the same drag schedules the job and assigns it at the same time.
Dropping a backlog card on a row books the day and the person in one move.
Dropping a card opens the schedule details so you can confirm the day and the assignee before saving.
Finding a specific job
Search the panel when you are looking for one vehicle or one job rather than working through the pile in order. The search covers the work order number, the asset and the line items.
The filters you have set on the calendar also apply to the backlog. If you have narrowed the view to one team or one location, the panel narrows with it, so you are only ever planning the work you are responsible for.
What is not in the backlog
Anything already scheduled. Once a work order has a day, it lives on the calendar. Clear its scheduled date and it comes back.
Completed work. Finished jobs do not return to the pile.
Work orders set to a Declined status. These are held out of the planning views so the calendar only shows work you intend to do. They are still on the List, under the Declined tab.
A red Declined chip on a card is a different thing: it means an approval request was turned down. That work order is still live and still on the calendar, ready to be reworked and resubmitted.
