How To Activate the Integration

Step 1 - Connect to Motive

Hover your cursor over the gear icon in the top right corner of our dashboard. After hovering over the gear a pop-up menu will appear. Select the "Integrations" option.

Scroll through our available integrations until you find "Motive" and click on "Activate".

You may need to login to your Motive account. If you are already logged in, you will be prompted to give Whip Around permission to access your Motive data. Once you allow those permissions you will be redirected to Whip Around and should see a screen like below:

Step 2 - Link Assets/Vehicles

Once Motive is integrated to Whip Around, you will see your assets/vehicles on the Whip Around Dashboard under the integrations module. In order for information to be synced between Motive and Whip Around, it is necessary to link these vehicles so they also appear as a Whip Around asset/vehicle. Doing this will also unlock many other functionalities that you can do in the dashboard.

To link an vehicle, there are 2 options that the user can choose from:

a) Link Motive vehicle with an existing Whip Around asset/vehicle

b) Link Motive vehicle without specifying an existing Whip Around asset/vehicle

Follow whichever options make the most sense to your circumstances.

Link Motive vehicle with an existing Whip Around asset/vehicle

Our system will always attempt to do a match with the Motive Vehicle by name or VIN. This means that if there is a Whip Around asset/vehicle with the same name or VIN as the Motive vehicle, then the system will suggest for the two vehicles to be linked together. When the two vehicles are linked, it will replace the data that’s currently in the Whip Around asset/vehicle, with the one that is in Motive.

Although the system suggests the two vehicles be linked together, it is possible for another asset/vehicle to be selected instead. Simply clear the match, and click on the search button to bring up a list of available Whip Around assets/vehicles to be linked.

NOTE - Please take caution when importing or choosing to import all vehicles. Our system will import every single vehicle on your Motive account, this also includes vehicles that does not have an activate gateway or vehicles that has been deactivated. In some cases, this may cause duplicate assets to get imported and appear on your Whip Around asset list. We recommend going through every single vehicles that are shown on Motive to ensure that you import only the vehicle that you want.

Link Motive vehicle without specifying an existing Whip Around asset/vehicle

In addition to the above, it is possible to link/import a Motive vehicle without specifying any Whip Around asset/vehicle at all. When this happens, it will create a brand new Whip Around asset/vehicle, which will contain the exact same details as the Motive vehicle.

Step 3 - Configure Forms to Send Alerts

Now that you've linked your assets/vehicles, you can expect them to be up to date and that defects will be flowing through to Whip Around to be managed within our workflows.

The last step is to configure your existing DVIR forms so you can be alerted when an asset/vehicle is moving without an inspection.

Simply edit your DVIR form(s) and click the checkbox as shown below:

You are all set!

You will notice an "Integrations" module with "Motive" as a menu item within on the left hand menu. You can visit that page to link and unlink assets/vehicles, as well as assess the health of your integration.
