How to use your inventory of parts on work orders.

Adding existing parts to Work Orders

Step 1: Adding a subitem to a work order

Every part entered into inventory will be automatically available to use on work orders.

We have split parts and labor, so you can decide what's applicable to each individual line item. At the end of the line item, click on the Actions icon and select ‘Add a sub-item’ and select ‘parts’ tab.

Step 2: Look Up Parts

Enter a keyword in the part name search box to look up a part.

Tip: You can search for a part by its name, part number, vendor, or team

Step 3: Description, Quantity and Price

You can change the quantity or adjust the price of the added part. After you've added a part to your work order, the respective quantity will be reduced from your inventory.

The quantity field is connected to the number of parts in stock. If you can't increase the quantity, you need to check or update the amount of parts in stock.

Step 4: Add Labor

Add Labor as a fixed price, hours, or a combination of hours and costs by clicking on ‘Labor’ tab on ‘Add a sub-item’ modal.


Adding new parts to Work orders

Sometimes you may need to add a part to a work order that doesn't exist in your inventory yet. You can do this via the work order page itself, and there are two ways to handle this depending on whether you want to track it in inventory going forward.

Adding a part without saving it to inventory

Use this option for one-off parts you don't need to track.

  • From the work order, open the Actions icon on a line item and select Add a sub-item, then choose the Parts tab.

  • Select add new part

  • On the next page, enter the details of the part. You may choose to not select any vendor in this case.

  • Click Save and next. The part details should be populated, and once you click Add, the part will be added to the work order

Adding a part and saving it to inventory

Use this option when you want the part tracked in your inventory going forward.

  • From the work order, open the Actions icon on a line item and select Add a sub-item, then choose the Parts tab.

  • Select add new part

  • On the next page, click on the toggle, and you will be taken to the same exact screen as the one in the inventory page

  • Enter the part details, then click Save and next

  • The part should now be added, and you will be back on the Add a subitem screen, where you can now search for the newly added part
