Fuel module overview

How to navigate the fuel tracking module

The fuel tracking module enables you to track fuel usage and costs for your assets, as well as monitor fuel efficiency and identify areas for improvement. This module will help you to optimize fuel usage and reduce costs while improving overall asset performance.

In this article:

Bulk uploading fuel transactions from your fuel card provider

Navigate to the Fuel module by selecting Fuel from the left sidebar menu in the Whip Around dashboard.

Select 'Fuel upload'

Drag and drop your fuel transaction file or select 'Choose a file' to import your fuel transactions. Whip Around supports the following file types: .csv, .tsv, .xls, .xlsx, .xml.

Select the header row and select "Confirm selection and continue"

Match your columns by selecting the column you want to match your field to from the drop-down list of columns in Whip Around's Fuel Module.  

Once you have matched all of your columns, select "Confirm matching and continue"

Clean data. We use AI to automatically clean your data where possible. Review the suggested changes and select "Continue"

Review and clean any errors that are presented by editing the fields that need to be updated. Select "Finish" to complete the bulk upload.

Your fuel transactions will be uploaded and presented in the Fuel module and under each of the asset's individual profiles.

Viewing and understanding the key metrics across all fuel transactions

Distance (mi/km)

Total distance travelled. Calculated by ending mileage less the starting mileage.

Volume (gal/ltr)

Amount of fuel consumed.

Fuel cost ($)

The total cost of fuel.

Economy

Total distance travelled divided by the total amount of fuel consumed.

Cost per mile (CPM)

Total cost divided by the total distance travelled.

Filtering and managing columns for fuel transactions

Filter your list of transactions by selecting the teams you want to filter by.

You can also filter by date range.

The search bar will also provide you with a more granular filter. For example filter by asset name.

To manage the columns displayed on the table go to 'Actions' and select 'Manage Columns'.

You will be presented with a list of default (left) and other column options (right). You can select which columns you wish to display for your list of fuel transactions.

Once you have selected the columns you wish to display, select 'Save'.

Please note: You will need to select at least 4 columns and a maximum of 10 columns

Amount of fuel consumed.

Fuel cost ($)

The total cost of fuel.

Reports for Fuel

Go to your reports module by navigating from the left menu bar and selecting "Reports".

Go to the Fuel report tile and select Fuel (csv) or Fuel (xls). A download will begin of your fuel report.
