How to create a new inspection form

Step 1:

Select the Inspection tab > Forms.

Step 2:

Click on 'Create new form'.

Add the name of the new form you want to create and click 'Create'.

Step 3:

Select which card type you want to add to the form. Each card will be a new section within the form. When a defect is identified by a driver, it will be associated to a specific item from a card on the form. Select a card type to view a preview of the card on the right.

Select from the following card types:

  • Single Check - Driver is able to check (pass or fail) a single point.

  • Multi Check - Driver is able to check (pass or fail) with each point individually.

  • Multiple Choice - Driver is given a list of choices to choose from and can only select one.

  • Checkboxes - Driver is given a list of choices to choose from and can select more than one.

  • Photo - Driver is able to take a photo (up to 20)

  • Mileage - Driver is able to capture mileage via a photo or numeric entry.

  • Engine Hours - Driver is able to capture engine hours via a photo or numeric entry.

  • Data Entry Alphanumeric - Driver answers in a text box format

  • Data Entry Numeric - Driver must answer in a number format

  • Signature - Driver is able to use their finger and write their signature.

Step 4:

Choose whether the card applies to an Asset or a Driver. By default, new cards will be assigned to an Asset. If you'd like to incorporate a question related to the Driver specifically, you can add a card and designate that the card applies to a Driver not an Asset. If a card is applied to a Driver and the Driver fails the card, it will not trigger a defect/failed inspection for the vehicle. You can choose to be notified if the Driver fails this card or not. All Driver responses will appear in the Driver Wellness module.

Step 5:

Give your card a title and add points (if applicable to the card type). This should be a clear question or item the Driver needs to review. You can choose to add an icon to the card if you wish. Get a preview of the card on the right hand side.

Step 6:

Choose if you want to upload a photo reference. A photo reference allows you to add any photo to a card to act as a visual reference guide for your Drivers. This could be used to help ensure drivers take the correct photo or help guide them on the right distance to take a photo from.

A Photo Guide can also be used as template for your Drivers to annotate upon.

Step 7:

Select Save once finished.

Once you have added a card, they will be shown to the left of the screen in the same order your Drivers will see in the app. You can edit and/or delete the cards if you have made a mistake.

You can also drag and drop the order of the cards to streamline the walk-around inspection of the vehicle.

*Please note: We recommend working closely with your drivers to make the forms simple and in a fluid order to save the driver time when carrying out the inspection.
