What’s New: Customers can now schedule various reports within the ‘Reports’ module to go to their emails at a frequency they choose.

This feature is applicable to all the reports customers can access according to their subscriptions.

Users can choose from the following frequencies to receive the reports:

  1. Daily

  2. Weekly

  3. Monthly

  4. Yearly

Users can customize who should receive the scheduled report by:

  1. Role

  2. Individual users

  3. External recipients


How to Schedule a Report

  1. On your Dashboard, click on the “Reports” tab in the side navigation.

  2. Click on the new "Schedule Report" button or review and edit your existing scheduled reports by using the new "Scheduled Reports" tab.

3. Once you click on the "Schedule Report" button, an option menu will appear allowing you to customize your scheduled report. You'll have options to choose from your: available reports, formats, filters, recipients, cadence, etc.


How To Create a Report Schedule

1. Add a report title, choose the report type, and choose the report format.

Note: For some reports, users will also need to choose the report subtype that they want to schedule

Reports where users need to select the relevant subtype:

  1. Defects

  2. Service schedule

  3. Work orders

  4. Assets

  5. Drivers

  6. Wallet

2. Select the report format

Users can select the format they want their report to be delivered. Options available are Excel and CSV.

3. Add filters - Add the team filter for the reports as required

Users can customize the report schedule for relevant teams for some of the reports.

4. Customize the recipients

Users can add recipients according to their roles or as individuals and/or external recipients.

5. Add roles as recipients

Users can select All admins/All Managers/All team Managers from the recipient section and all the roles in the organization will get the report in their email.

6. Add individual recipients

Users can select individual recipients from each role dropdown if they only want to send the report to individual recipients.

7. Add external recipients

Users can also add external recipients by providing their email addresses in the external recipients list.

8. Select the report schedule

Users can select the frequency in which they would like to receive the report.

The following frequency options are available:

  • Daily

  • Weekly

  • Monthly

  • Yearly

Depending on the frequency selected, they will need to select the day of the week/month/day and month etc.

Note - Yearly frequency is not available for Inspections and driver wellness report

9. Click on the ‘Schedule’ button to create and save the schedule.


How To View All the Report Schedules

Users can view all the report schedules by clicking on "Scheduled Reports" tab on the Reports page.


How To Edit or Delete a Report Schedule

Within the "Scheduled Reports" tab, users can edit or delete a report schedule by clicking on ‘:’ next to the report schedule.

By clicking on ‘Edit’ a user can edit the existing report schedule and save it

Users can click on ‘Delete’ to delete the report schedule.


How to Download the Report from an Email

All the recipients will receive an email with a link to download the relevant report.

Note:

  • If the report is less than 20mb, it will also be attached to the email

  • If the report is more than 20mb, users will need to click on the "Download Report" button within the email to download the report.
