Moving an Asset In/Out of Service

Instructions on how to change an Asset's status

Moving an Asset to an Out of Service status allows you to understand vehicle downtime. While in an Out of Service status, vehicles may still be inspected, or have Scheduled Services completed.

There are multiple locations within Whip Around to mark an Asset as In or Out of Service:

  1. Asset List Page

  2. Asset Details Page

  3. Defect Details Page

  4. Work Order Details Page

1. Asset List Page

To mark an Asset as Out of Service from the Asset List Page, find the Asset on the list. Then, select the three dots in the ‘Actions’ column.

Click on the three dots, and choose ‘Mark as out of service’.

You may write a reason(s) for marking the Asset as Out of Service if you’d like. When desired, click ‘Mark as out of service’ to change the Asset’s status. Note: The reason/notes that are added will also be displayed in the 'Asset in/out of service' report, scheduled reports, and out of service logs.

The status of the Asset will now read ‘Out of service’.

To mark an Asset as In Service, simply click on the three dots in the Actions column, select ‘Mark as in service’ from the list, provide a reason if desired, and select ‘Mark as in service’. This will restore the Asset’s status.

2. Asset Details Page

To mark an Asset as Out of Service, select Assets from the left hand menu, and click on the name of the Asset.

This brings you to the Asset Details page. Find the button marked ‘In service’ and simply click on the button to mark the Asset as out of service.

If desired, type notes to document the reason(s) why this Asset is Out of Service. The screen will update with a message showing the change in the Asset’s status.

To mark an Asset as In Service, simply click on the Out of Service button, provide a reason if desired, and select ‘Mark as in service’. This will restore the Asset’s status.

3. Defect Details Page

To mark an Asset as Out of Service from the Defect Details Page, use the left side menu to navigate to the ‘Maintenance’ section and from there select ‘Defects’.

Select the desired Defect by either clicking on the Defect ID, or by clicking on the arrow on the right hand side.

Once in the Defect Detail Page, you can change the status of the Asset by clicking on the ‘In service’ button.

From there, you can add a reason if desired. Select ‘Mark as out of service’ and the Asset’s status will be updated.

To mark an Asset as In Service, simply click on the Out of Service button, provide a reason if desired, and select ‘Mark as in service’. This will restore the Asset’s status.

Please Note: If making the change from the Defect Details Page and there are additional Defects not completed, you will be prompted to correct the outstanding Defects prior to marking as in service. Additionally, the reason/notes that are added will also be displayed in the 'Asset in/out of service' report, scheduled reports, and out of service logs.

4. Work Order Details Page

To mark an Asset as Out of Service from the Work Order Details Page, use the left side menu to navigate to the ‘Maintenance’ section and from there select ‘Work orders’.

Select the Work order affiliated with the Asset you’d like to mark as Out of Service. You can select the Work Order by clicking on the Work Order name.

When inside the Work Order, change the Asset status to Out of Service by toggling the Asset Status bar on the right side.

You may write a reason(s) for marking the Asset as Out of Service if you’d like. When desired, click ‘Mark as out of service’ to change the Asset’s status. Note: The reason/notes that are added will also be displayed in the 'Asset in/out of service' report, scheduled reports, and out of service logs.

The status of the Asset will now read ‘Out of service’.

To mark an Asset as In Service, simply click on the Out of Service button, provide a reason if desired, and select ‘Mark as in service’. This will restore the Asset’s status. Please Note: If making the change from the Work Order and there are additional Defects not completed, you will be prompted to correct the outstanding Defects prior to marking as in service. Additionally, the reason/notes that are added will also be displayed in the 'Asset in/out of service' report, scheduled reports, and out of service logs.
