Send inspection defects straight to your shop with Fullbay

New — 11 December 2025

We've partnered with Fullbay to connect your inspections directly to your shop. When a defect is logged in Whip Around, it flows automatically into Fullbay as a service request — and as the repair progresses, updates flow back to keep the defect status current in Whip Around. No re-keying, no chasing status between two systems, just one connected maintenance workflow.

What's new:

  • Defects become service requests automatically — Inspection defects logged in Whip Around are pushed to Fullbay, so nothing falls through the cracks between inspection and repair.

  • Status updates flow back to you — Comments, notes, signatures, and status changes from Fullbay sync back to Whip Around, keeping your defect records up to date as work gets done.

  • Set it up once — Activate the integration from either platform and defect data starts flowing automatically.

The result: less manual work, fewer dropped handoffs, and a clearer line of sight from inspection to completed repair.

Before you start: a Fullbay Pro or Elite subscription is required, and your assets in Whip Around and vehicles in Fullbay need matching VINs — that's how the two systems identify and sync each vehicle.

Work orders that match the way your shop actually runs

New · Improvement — 13 November 2025

Every fleet runs its maintenance process a little differently — different approval steps, different stages, different sign-offs before a job can move forward. For larger operations especially, a one-size-fits-all work order status list doesn't reflect how the shop really works. Work Orders 2.0 makes the module configurable around your process, with custom statuses, built-in approvals, and a cleaner, more consistent experience across Whip Around. It's built for the complexity larger fleets manage every day.

What's new:

  • Match work orders to your process — Create up to 5 custom statuses in Admin Settings, each with its own label, color, and description, and require an approval to move between them. Custom statuses now appear everywhere a work order does — list, details, and third-party pages.

  • Keep the right people in the loop — When an approval is requested, email notifications go out automatically, so jobs don't stall waiting on a sign-off.

  • Keep all the evidence in one place — Attach documents and photos directly to a work order from web or mobile, with clearer visibility on the details page.

  • Find and manage work faster — A refreshed design aligned with Inventory, Assets, Vendors, and Dashboards, plus enhanced filtering, sorting, and column management on the Work Order List.

  • See the full picture of a job — Improved details pages surface documents, line items, and cost summaries at a glance, with an upgraded experience on third-party work order pages.

  • Report on workflow performance — View reports by each custom status and schedule them automatically for better visibility into how work moves through your shop.

Together, these updates give enterprise fleets a work order module that adapts to their process instead of forcing a workaround — with the approvals, auditability, and visibility larger operations need to keep maintenance moving.

Structure your teams the way your organization is actually built

New — 24 November 2025

Larger fleets rarely run as one flat list of teams. They're organized into regions, depots, divisions, and the smaller groups inside them — and access should follow that structure. Hierarchy lets you build sub-teams within teams and set access to match, so people see exactly the teams and assets that fall under them, and nothing that doesn't. It's a more accurate reflection of how big operations are really organized.

What's new:

  • Build sub-teams within teams — Create nested team structures that mirror your organization, from the top level down to individual groups.

  • Access that follows the hierarchy — Drivers assigned higher up can access the teams and assets beneath them, so visibility cascades the way your org chart does.

  • A cleaner way to manage it all — Upgrades to the Teams module, Drivers list, and Team Management page make it easier to set up and maintain your structure.

Together, this gives larger fleets far greater control over how teams and access levels are organized — structure that scales with the operation instead of fighting it.

Catch the defects inspections miss, with AI Inspect Pro

New — 20th October, 2025

Drivers complete inspections, but the signal in those photos and comments isn't always obvious — and reviewing every one by hand doesn't scale. AI Inspect Pro reads inspection photos, comments, and form context to surface potential issues for managers automatically. It catches what might otherwise slip through, cuts down manual review, and lets managers turn AI suggestions into defects in a click — all without changing anything about how drivers inspect.

What's new:

  • Catch missed defects — AI flags photo/comment mismatches and overlooked issues, so problems get seen before they become breakdowns.

  • Spend less time reviewing — Inspection analysis is automated, so managers process more inspections in less time.

  • Turn AI suggestions into defects — When the AI flags something, managers can create a defect from the suggestion directly, or dismiss it.

  • No change to the driver workflow — All the intelligence sits on the manager's side; drivers inspect exactly as they do today.

Track every fuel purchase automatically with COAST

Fuel is one of the biggest costs a fleet carries, and one of the hardest to keep clean records on when purchases live in one system and vehicles live in another. The COAST fuel cards integration connects the two. Every COAST card purchase flows straight into Whip Around and matches itself to the right vehicle and vendor automatically — so you get a clear picture of fuel spend and usage without the manual reconciliation.

What's new:

  • Sync the data that matters — Assets, drivers, fuel vendors, and detailed transaction data stay in step between COAST and Whip Around.

  • No more manual matching — Every COAST card purchase is tracked automatically and tied to the correct vehicle and vendor, with no spreadsheets in between.

  • See spend and usage clearly — Fuel data lands alongside the rest of your fleet record, so trends and costs are easy to monitor in one place.

Make sure every defect comes with context

A photo tells you something's wrong, but not what, where, or how bad. When defects come in without a description, mechanics are left guessing and managers are left chasing the driver for detail. Mandatory Defect Comments closes that gap by requiring drivers to add a comment when they submit a defect — so every issue arrives with the context needed to act on it.

What's new:

  • Require a comment on every defect — Drivers must add a description when submitting a defect, so photos never arrive without the story behind them.

The result: clearer defects, fewer follow-up questions, and faster, better-informed repairs.

Let drivers close out the defects they fix themselves

New — 11 June 2025

Plenty of defects get resolved on the spot — a driver spots low oil during a trip and tops it up before they're back. But until now, only a manager or mechanic could close a defect, so even a quick fix sat open waiting on someone else. Drivers can now correct and close out their own defects directly from the app, keeping the record accurate and the workflow moving.

What's new:

  • Drivers can resolve their own defects — When a driver fixes an issue in the field, they can mark it corrected and closed right from the app — no waiting on a manager or mechanic.

The result: less admin overhead, fewer defects sitting open unnecessarily, and a cleaner, faster field workflow.

A faster, cleaner way to manage your parts inventory

Managing parts shouldn't mean squinting at cramped modals or hunting through an inconsistent list. The Inventory Management upgrade brings the module in line with the rest of Whip Around — a cleaner list view, a full-page parts experience, and the filtering and customization fleet managers and mechanics need to keep parts organized and easy to find.

What's new:

  • A cleaner, standardized list view — Inventory now matches the look and feel of Assets and Vendors, for one consistent experience across the platform.

  • A full-page Parts Details experience — No more small, clunky modals — every part opens to a full page with room for everything that matters.

  • More to track on every part — New columns for maximum quantity, manufacturer, and part photo give you a richer picture at a glance.

  • Find parts faster — New filtering, sorting, and manage-columns options make organizing and locating inventory easier.

  • Capture the details you need — Custom fields let you record the part information specific to your operation.

Let drivers add photos from their gallery during inspections

New — 5 February 2025

Sometimes a driver needs to capture a lot of photos fast — at an accident scene, for instance, where the priority is documenting everything and getting the asset off the road. Inspect has historically required photos be taken in real time, but some operations need more flexibility. The new Photo Gallery Selector lets drivers upload photos from their mobile library when completing an inspection, so they can capture the moment first and attach the images when it's safe to.

What's new:

  • Upload photos from the mobile library — Drivers can attach existing photos from their device when completing an inspection, not just capture them live.

This gives fleets that need it the flexibility to document fast-moving situations thoroughly, without losing time in the field.
