How to add service programs
To add a service program, log into whiparound.com and navigate to the left hand menu. Select ‘Maintenance’ and ‘Service programs’.
Select ‘+Create service program’ in the top right corner.
In the 'Details' section, give your program a title, and select service tasks from the menu.
Please Note: A number of service tasks are already included in Whip Around. To add or personalize them, learn more here.
Selected service tasks will appear below. To remove a service task added in error, click the trash can icon.
Next, select your Intervals. You can select all three or one, whichever interval hits first will trigger the program. You can choose to have a program occur one time, or to repeat. You may select one or multiple intervals for repetitions. You may also select an end date for the program.
You must select at least one Asset to apply the service program to. You may select all, or just certain Assets by clicking the check boxes in the left hand side. Note: If you create this BEFORE an asset has mileage or engine hours readings, it will throw inaccurate "over dues" as the system does not know the vehicle or equipment current "age".
On this screen, you can also update the 'Last service mileage' and 'Last service date' for your selected Assets. This allows you to ensure your service program starts with the most up to date information. Note: You only have to do this upon setup with Whip Around, if you are closing the program or WO correctly by entering in last service mileage, service hours, or service date, the system will keep up with the information for you.
Following that, you will set up Reminders to ensure the correct Managers are being notified. You can also select Thresholds for which you will want to be reminded. These can be a certain number of miles, hours or days remaining until due.
You may also select to automatically create Work Orders when the Reminders are sent.
You can also assign the Work Order to a specific Mechanic in your system.
Additionally, you can add a new Mechanic by clicking 'Add new mechanic' and entering their information.
Finally, you may select where you want to see the Reminders. You can select from the Dashboard, Email, or both.
Click Save and you will see your new service program appear on the service programs page.
How to see all of your service schedules from the Service Schedule
To see your service schedules, log into whiparound.com and navigate to the left hand menu. Select ‘Maintenance’ and ‘Service schedule’.
From here, you can see a variety of information related to your service schedules. You can sort by team, date or by the status that it is in.
Additionally, you can click on the Title of the service schedule and view more information about it.
You may also select 'Mark as Completed' and update the status.
From here, if you have chosen to automatically create Work Orders from your service programs, you can also click on the Work Order number and see the associated details for the Work Order.

How to see upcoming services due on your assets from the Dashboard
To see upcoming services from the Dashboard, login to whiparound.com. You will be on the Main Dashboard page. Simply scroll down until you find the 'Upcoming service & work order schedule'.
The date is defaulted to the current week. You may toggle backward or forward in time by clicking the arrows next to the dates.
The Assets that have upcoming services will appear on the schedule. To learn more information about what services are due, hover your mouse over the Asset name. A pop up will detail the service tasks that are to be worked.
You can also view service schedule information by viewing the Maintenance summary on the Dashboard and clicking 'View services'. This will take you directly to the service schedule page.
